Welcome to Verlo
Verlo is an infinite visual workspace where your team can draw, plan, talk and get AI help — all in the same place.
What you'll need
- A Verlo account — sign up with email and password, phone one-time code, Google, GitHub, Microsoft, or your company's SSO (SAML/OIDC, Azure AD, Okta, Google Workspace, OneLogin).
- A modern desktop browser (Chrome, Edge, Firefox or Safari) for full authoring — Windows, macOS or Linux.
- A microphone and camera if you plan to try voice, video or Talkreel recording.
- The Verlo mobile app (iOS or Android) if you want to browse and join boards on the move.
Signing in
- Go to the Verlo sign-in page.
- Choose a method: email + password, a one-time code sent to your phone, or a social/SSO provider (Google, GitHub, Microsoft, or your company's identity provider).
- If your organization uses enterprise SSO, you may be redirected to your company's login page — sign in there and you'll be returned to Verlo automatically.
- First-time users land on the Dashboard once signed in.
Tip: if you're joining a board someone shared with you, you don't need an account at all — open the link and enter a display name to join as a guest.

1. Workspaces, teams and boards
Understand the dashboard
Your Dashboard is home base: recent boards, starred boards, spaces, trash, recordings, notifications, integrations and team settings all live here.
- Sign in and land on the Dashboard.
- Use the sidebar to switch between Recent, Starred, Spaces, Trash and Recordings.
- Switch between list and grid view using the view toggle near the search bar.
- Use the search bar to find a board by title or topic.
Create, rename and organize a board
- Click New board, then choose Blank board or pick a template.
- Rename the board from the board menu (top left of the canvas), or by double-clicking its title on the Dashboard.
- Duplicate a board from the board menu or from its card on the Dashboard.
- Star a board (click the ☆ icon on its card) to pin it under Starred.
- Set a custom thumbnail from Board details in the board menu.
- Move a board to Trash from its card menu, and Restore it from the Trash view before it's permanently deleted.
Create a team and invite members
- Open Team settings from the sidebar and give your team a name, description and logo.
- Click Invite members and enter an email address, or click Bulk invite and upload a spreadsheet of emails using the downloadable template.
- Choose a role for each invitee: Admin, Editor, Commenter or Viewer.
- People already on Verlo are added instantly; everyone else receives an invitation email to accept.
- Confirm seat usage against your plan's seat limit in Team settings.
Organize boards with spaces
- Click Create space and name it — one per project or client works well.
- Move a board into a space from the board menu's Move to team/space option.
- Rename or delete a space from the Spaces view.
- Filter the Dashboard by space to see only that project's boards.
Set up Brand Center
- Open Brand Center from Team settings.
- Upload your team's logo and set a primary and accent color.
- Choose a default font for new boards.
- Save — new boards created by your team will now use these brand defaults.
Manage your personal account & billing
- Click your avatar → Profile settings to update your name, organization, industry and interface language.
- Update notification preferences, password and security settings.
- Open Billing & usage to review your plan and see AI credits used vs. remaining this month.
- Check per-member usage if you're a team admin, and click Upgrade plan if you need a higher tier.

2. The canvas — drawing and editing
Core tools
The left toolbar holds the tools you'll use most: Select (V), Hand/pan (H), Pen (P), Sticky note (S), Text (T), Frame (F) and Comment pin.
- Press V to select and move elements.
- Press H, or hold Space, to pan around the board; scroll or pinch to zoom.
- Press P to draw freehand with the pen tool.
- Press S to place a sticky note, then type directly into it.
- Press T to place a text box anywhere on the canvas.
- Press F to draw a frame around a group of elements.
- Click the Comment pin tool, then click anywhere to leave a comment at that exact point.
- Use the Eyedropper to pick an exact color from anything already on the board.
- Use the Laser pointer during a live session to draw attention without leaving a mark.
Shapes and connectors
- Select a shape tool — rectangle, ellipse, diamond, line or arrow — and drag on the canvas to draw it.
- Draw an arrow from one shape to another; it becomes a smart connector that stays attached as you move either shape.
- Open the Shape Library to browse hundreds of icons — flowchart, UML, BPMN, cloud architecture, Kubernetes and DevOps sets — and drag one onto the canvas.
- Upload your own SVG into My Shapes from the Shape Library panel.
Editing and arranging
- Use Ctrl+Z / Ctrl+Y to undo and redo.
- Cut, copy, paste and duplicate with Ctrl+X / Ctrl+C / Ctrl+V / Ctrl+D.
- Select multiple elements by dragging a selection box, then Ctrl+G to group and Ctrl+Shift+G to ungroup.
- Lock an element (Ctrl+Shift+L) so it can't be accidentally moved; Unlock all releases every lock at once.
- Right-click a selection to bring it forward, send it backward, or move it to front/back.
- Use Flip horizontal (Shift+H) or Flip vertical (Shift+V) on a selection.
- Use the Format Painter to copy a shape's style and apply it to another element.
- Copy the canvas to your clipboard as an image, vector, or plain text from the Edit menu.
Media and links
- Drag an image from your desktop onto the canvas, or use the board menu's Import → From device.
- Set a custom board background image or color from the board menu.
- Select an element and press Ctrl+K to add a hyperlink to it.
- Right-click an element and choose Copy link to object to get a deep link that scrolls straight to it.
- Select an element and Add to library to reuse it on other boards.
Navigation and view
- Use Ctrl+ / Ctrl− to zoom, Ctrl+0 to reset to 100%, and Ctrl+Shift+H to fit everything on screen.
- Open the Minimap to orient yourself on a large board.
- Open the Layers panel to see and reorder every element by its stacking order.
- Open the Frames panel to jump between frames instantly.
- Press Ctrl+F to open Canvas search and find text anywhere on the board.
- Press Ctrl/Cmd+K to open the Command Palette and trigger any action by typing its name.
- Press Alt+Z for Zen mode, or use Full screen for a distraction-free view.
Board appearance
- Open board settings and choose a background style: plain, dots, lines or grid.
- Pick a background color from the presets, or set a custom color.
- Toggle Snap-to-grid on or off.
- Switch between light and dark interface theme from your account menu.

- ☐ Draw a rectangle, a sticky note and a text box, using their keyboard shortcuts.
- ☐ Draw an arrow connecting two shapes, then move one shape and confirm the arrow follows.
- ☐ Drag a shape in from the Shape Library.
- ☐ Select two elements, group them, then ungroup them.
- ☐ Use the Command Palette to trigger an action by typing its name.
- ☐ Switch the board background to a dot grid and toggle snap-to-grid on.
3. Widgets — live, interactive objects
Widgets go beyond drawing — they're structured, interactive objects that live on your board.
Task Table, Kanban and Timeline
- Insert a Task Table widget from the Insert menu.
- Click Add row and fill in a title, description, assignee, start/end date, priority and status.
- Switch the same widget to Kanban view to see items as draggable columns (Not Started, In Progress, Complete).
- Switch to Timeline view to see the same items laid out across a date axis.
- Use Filter, Sort, Group and Hide fields from the widget's toolbar.
Data Table
- Insert a Data Table widget.
- Add columns and set their type (text, number, date, etc.).
- Rename a column by double-clicking its header.
- Export the table as CSV from its menu.
Chart, Document & Slides
- Insert a Chart widget and pick a type: bar, line, pie or donut, then add or edit data points, labels and colors.
- Insert a Document widget, type a heading, add bullets, and format text as you would in a rich text editor.
- If Confluence is connected, link the document to a Confluence page to keep them in sync.
- Insert a Slides widget to hold a self-contained slide deck inside the board.
Poll & Planning Poker
- Insert a Poll widget, type a question and at least two options.
- Click Launch poll — participants vote, and results appear live as bars. Click End poll to lock in results.
- Insert a Planning Poker widget for the item you're estimating.
- Each participant picks a card privately, then Reveal shows every card at once — the widget calculates the average.
Timer & Embed
- Insert a Timer widget, set a duration, and click Start. Use Pause and Reset as needed.
- Insert an Embed widget and paste a link — YouTube, Vimeo, Loom, Figma, or a Google Docs/Sheets/Slides URL — it renders live on the canvas.
Cards, notes and mind maps
- Insert a Card for lightweight capture, or open the board Note panel for standing context.
- Open the Mind Map builder to create a structured node tree directly, without going through AI generation.

4. Real-time collaboration
Invite someone and edit together
- Click Share (top right of the board), then either copy the invite link or turn on public access.
- Send the link to a teammate — if they have an account they join instantly; guests just enter a display name.
- Watch their cursor and any edits appear on your screen instantly, in their own color.
- Check the presence avatars (top right) to see everyone currently on the board.
Comment on the board
- Select the Comment pin tool and click anywhere on the canvas to drop a pin.
- Type your comment; @mention a teammate to notify them directly.
- Reply inside the thread to keep a conversation attached to that exact spot.
- React to a comment with an emoji.
- Click Resolve once the comment has been handled — it collapses but stays in the log.
- Use comment search to find a specific comment, and Export comments as CSV or plain text.
Mentions, reactions & board chat
- Open the notification bell to see your notification center; filter by Unread or Mark all read.
- Open Notification preferences to choose which events notify you, and through which channel — in-app, email or push.
- Click the Reactions icon and pick an emoji — it floats up over the canvas for everyone to see.
- Open Board chat to send a text message attached to the board, visible to everyone with access.
Activity, catch-up and version history
- Open the Activity panel to see a log of what's happened on the board and who's been involved.
- Click Catch up to see a summary of what changed since your last visit.
- Open Version history to browse previous saved states.
- Click Save named checkpoint to pin a version with a label you'll recognize later.
- Select an earlier version and click Restore to roll the board back to that state.
Guest access and offline handling
- Share a guest link — recipients join by typing a display name, no account required.
- If your connection drops, watch for Verlo's offline banner — it reconnects automatically once you're back online.

- ☐ Copy your board's invite link and open it in a private/incognito window to join as a guest.
- ☐ Add a comment pin, @mention someone, and mark the thread resolved.
- ☐ Export the comment log as CSV.
- ☐ Save a named checkpoint, make a change, then restore the earlier checkpoint.
- ☐ Send a reaction and a board chat message.
- ☐ Open Catch up and confirm it summarizes recent changes.
5. Voice, video and Talkreels
Talk while you work
- Click Voice chat (top right) to join audio on the board.
- Click Video chat to add your camera — a floating tile appears over the canvas.
- Use Mute/Unmute and Camera on/off from your own tile.
- Watch the speaking indicator light up on whoever is currently talking.
- Click Leave voice (or Leave) to disconnect.
Use voice commands
- Open the Voice Command panel and click Start voice command.
- Speak your instruction — “add a rectangle”, “draw an arrow to the login box” — and watch the live transcript.
- Confirm the shape or diagram appears on the canvas as described.
- Check your remaining free minutes or AI credit quota for voice commands in the panel.
Record a Talkreel
- Open the Recordings panel and click Start recording.
- Talk through the board as you would in a meeting — your voice and screen are captured.
- Click Stop when finished.
- Open Trim to cut the start or end of the clip.
- Rename the recording and set its visibility: private, shared with the board, or a public watch link.
- Once processing finishes, open the recording to check the transcript, auto-generated captions, and AI summary.
- Leave a timestamped comment at a specific moment in the video.
- Open View analytics to see how many people watched it and for how long.
- Open the Recordings library from your Dashboard to browse every recording across your account.

- ☐ Leave a timestamped comment on the recording.
6. Using Verlo AI
Talk to the Sidekick
- Open the Sidekick panel from the side toolbar (or the AI icon).
- Type a request in plain language — “add a rectangle labeled Login”, “summarize this board”, “change the owner of the Design task to Priya” — and press Enter.
- Review the shapes it creates or edits, and the short explanation it gives of what it did.
- Select an element or a Table/Kanban row first if you want Sidekick to focus on it.
- Ask a follow-up in the same conversation — Sidekick remembers the thread.
Generate content from a topic
- Open Sidekick and choose the Sticky Notes generator. Describe your topic, choose how many notes you want, and toggle Group by category if you want them clustered. Pick a color theme, click Generate, and Place on Canvas.
- Select an existing cluster of stickies and choose Organize stickies — Verlo clusters them into labeled themes automatically.
- Choose Mind Map, enter a topic, set branches and depth (2 or 3 levels), Generate, then Place on Canvas — use Re-sync after manual edits.
- Describe a process, system or flow in words (or voice) to generate a connected Diagram — Re-sync it if the description changes.
- Ask Sidekick to “turn this into a roadmap” or “build a project plan from this board.”
Summarize, gap-check and ask questions
- Ask Sidekick to “summarize this board” or “summarize this meeting.”
- Run Gap check to flag what's missing or inconsistent, and ask it to fix the gaps it finds.
- Ask for Proactive questions to surface assumptions the board doesn't answer yet.
- Start a board from a template, then use Template auto-fill and describe your topic.
Run a one-click canvas action
- Select part of the board, or select nothing to target the whole board, and open the AI actions menu.
- Under Organize: Suggest actionable tasks, Design workshop agenda, Summarize team update, or Cluster and rank feedback.
- Under Tone: Make formal, Make casual, or Simplify language.
- Under Translate: English, Spanish, French or German.
- Under Edit: Expand, Condense, or Rephrase.
Selection-aware toolbar & work-item intelligence
- Select a cluster of elements — a floating AI toolbar appears with actions scoped to just that selection.
- Ask Sidekick to change an owner, priority or due date on a specific Table/Kanban row by name.
Connect your own AI tools (agent access)
- Open Account settings → Agent access.
- Click Generate token and copy it immediately — it's shown only once.
- Add the token to Claude Desktop or Cursor's MCP configuration for Verlo.
- Confirm the external tool can read your boards, and check Last used to see recent activity.
- Revoke the token at any time from the same settings page.
AI features run on a monthly credit allowance that scales with your plan. Check remaining credits any time under Billing & usage.

7. Knowledge and memory
Verlo extracts durable facts and decisions from your team's AI interactions and feeds them back into future requests — so you don't re-explain context every time.
- Have a few AI conversations on a team board — ask Sidekick to do a few different things over a couple of sessions.
- Open a different board that belongs to the same team and ask Sidekick a related question.
- Confirm it references context from the earlier board without you repeating it.
- Open AI memory status (from board or account settings) to see what your team's accumulated memory currently holds.

8. Planning and project work
Manage work items
- Add a Task Table (or Kanban/Timeline) widget to a board.
- Create an item with a title, description, assignee, start/end dates, priority and status.
- Switch the same set of items between table, Kanban and timeline views — nothing needs re-entering.
- Use Filter, Sort and Group to control what's visible.
Import your real backlog & estimate
- Open the Integrations panel on a board and import issues from Jira, GitHub, Azure DevOps, Asana or Confluence.
- After planning, create new issues back in the source tool directly from the board.
- Run a Planning Poker round for each item you're estimating.
- Use a Poll for quick decisions, and a shared Timer to keep a ceremony on schedule.
Check board analytics and digests
- Open Board analytics to see engagement — who's been active and how the board has been used.
- Open Notification preferences and enable the periodic digest to get a rollup by email.

9. Running workshops and presentations
Present the board
- Turn frames into slides, then click Present (top right).
- Use arrow keys, or the on-screen controls, to move between frames.
- Open Presenter view for speaker notes and a preview of the next frame.
- Click Bring everyone to your view so the room follows you automatically.
- Watch live audience reactions stream in as you present, and export speaker notes if you need them outside Verlo.
Control the room
- Toggle Lock canvas so nobody can edit while you're talking.
- Turn on Private mode so participants work without seeing each other's contributions until you reveal them.
- Use Hand raise — participants raise their hand, and you can Lower all hands at once.
- Use the Laser pointer to draw attention to a specific spot.
Breakout groups & interactive activities
- Open Breakout groups and split participants into groups; let each work independently for the set duration.
- Broadcast a message to every group at once, then click End breakout to bring everyone back together.
- Launch a Poll and watch results update live.
- Open Q&A mode — participants submit and upvote questions; mark them Answered as you go.
- Run a Planning Poker round, and send Emoji reactions during the session.
Async walkthroughs & wrap-up
- Record a Talkreel walkthrough of the board for anyone who couldn't attend.
- Ask Sidekick to generate a session summary and extract action items as a task list.
- Export the board in whatever format your audience needs.

10. Using templates
- From the Dashboard, click New board → Browse templates.
- Filter by category — Strategy, UX & Product, Agile, Planning, Brainstorming, Engineering, Process, Organization, HR & Team, Marketing, Presentations, Getting Started.
- Click a template to preview it, then Use this template to create a board from it.
- Star a template (click the ☆) to save it to Favorites.
- Build a board the way you want it, then choose Save as template from the board menu to create your own.
- Share a custom template with your team as a team template.
- Browse Community templates for options beyond the built-in set.
- Use Template auto-fill to have AI populate a template with content for your topic before you start.

11. Search and discovery
- Use the Dashboard search bar to find a board by title or topic.
- On a board, press Ctrl+F to open Canvas search and find text anywhere on it.
- Press Ctrl/Cmd+K to open the Command Palette and jump to any action by name.
- Search the comment log on a board, and export it as CSV or text.
- Search your team by name or email when inviting or assigning.
- Open the Recordings library and search across transcripts and summaries.
- Open Version history to find and restore an earlier state of a board.
- Instead of searching, just ask Sidekick what a board says or what was decided — it reads the board and your team's accumulated context.

12. Sharing and permissions
- Click Share on a board to open sharing settings.
- Toggle Public access on to generate a link anyone can use, or keep it off to stay private.
- Send a guest invite link — recipients join by entering a display name, no account needed.
- Move a board to a team so everyone in that workspace can reach it, or remove it again.
- Assign each collaborator a role: Editor, Commenter or Viewer.
- Open Granular permissions and control exactly who can edit the canvas, comment, export, invite others, use voice, record Talkreels, and present.
- Click Reset to defaults at any time to undo custom permission changes.
- If your organization uses SSO, confirm sign-in works through SAML/OIDC or your identity provider.
- As an admin, open Automated provisioning to confirm users and groups sync from your identity system.
- Open Administrative visibility (admin only) to review centralized usage, analytics and audit records.

- ☐ Change a collaborator's role from Editor to Viewer and confirm they can no longer edit.
- ☐ Turn off export permission for Viewers and confirm the Export option disappears for them.

13. Connecting integrations

- Open Dashboard → Integrations and pick the tool you want to connect.
- Follow the authentication prompts — most use a standard sign-in flow with that provider.
- Open a board's Integrations panel to import content or push new items back out.
- If a connection expires, click Reconnect and re-authenticate.
- Disconnect an integration at any time from the same settings area.

14. Exporting and importing
Export your work
- Image (PNG) — Board menu → Export → Image (high resolution on paid plans)
- Vector (SVG) — Board menu → Export → Vector
- PDF (true vector) — Board menu → Export → PDF
- PowerPoint — Board menu → Export → PowerPoint (one frame per slide)
- Speaker notes — Board menu → Export → Speaker notes
- Spreadsheet / CSV — Board menu → Export → Spreadsheet, or a widget's own Export CSV
- Comment log — Comments panel → Export (CSV or text)
- Board file (.excalidraw) — Board menu → Export → Board file
- Clipboard copy — Edit menu → Copy as PNG / SVG / text
Import content
- Open the board menu → Import → From device to upload an image.
- Choose Import → From Google Drive to pull in an image or file.
- Choose Open board from Drive (.excalidraw) to reopen a saved board file.
- Import a spreadsheet directly into a work-item widget.
- Import your own SVG shapes into the Shape Library.

- Use the full authoring experience in a desktop browser on Windows, macOS or Linux.

- Switch your interface language between English, Spanish and French from Profile settings.

Troubleshooting & FAQ

| Board won't load or looks out of date | Check your connection — Verlo shows a banner and reconnects automatically. If it persists, refresh the page. |
| Can't hear or see a teammate in voice/video | Confirm your browser has microphone/camera permission, and that you and they have both joined the call. |
| An action is greyed out | You likely don't have permission for it — ask a board Editor or Admin to check your role and granular permissions. |
| AI action didn't run | Check your remaining AI credits under Billing & usage — usage resets each billing cycle. |
| Voice command wasn't understood | Speak clearly and wait for the listening indicator; check your microphone permission and remaining voice quota. |
| Recording won't start | Confirm microphone/screen-recording permission is granted to your browser. |
| Integration shows “Reconnect needed” | The connection token expired — click Reconnect and re-authenticate. |
| Invited member hasn't joined | Ask them to check spam/junk for the invitation email, or resend the invite from Team settings. |
| Guest can't access a board | Confirm public access or a guest link is enabled, and that the link hasn't been revoked. |
| Can't find an older version of a board | Open Version history — older auto-saves may be pruned by plan, but named checkpoints are kept. |
| Export is missing content | Elements outside the current frame or hidden layers may be excluded — check Layers and frame boundaries before exporting. |
| Mobile app doesn't show a board | Confirm you're signed into the same account, and that the board hasn't been moved to a team you're not part of. |
